Program Cancellation Policy

CANCELLATION POLICY

Planning a field course in the backcountry or down a river requires intensive planning and non-refundable costs on our end. The closer we get to the start of the course, the more our financial investment increases for each person who is registered. If you have to withdraw from a course, we are unlikely to recoup our investment, and we cannot, therefore, refund your payments past a certain date. While we would love to be able to issue refunds, we are a very small company and our investment in each of our participants is full and significant. If you have to cancel, there’s a chance we can defer your deposit / payments to a different or future course, if we can fill your space with another participant. Please check (and double-check) your own calendar for conflicts before registering. Please review specific program pages for details. We request a non-refundable $35 application fee. To save your space on the course, we request a 15% deposit: ALL DEPOSITS + PROCESSING FEES ARE NON-REFUNDABLE. Balances may be paid up front or over a period of time, on an approved payment plan. Balances are due in full 35 days ahead of the course start date: in general, all PAYMENTS ARE NON-REFUNDABLE. In all cases, as the course start date gets closer, we have less and less flexibility with refunds. Space is limited on all of our courses and once you have registered, we no longer have the opportunity to sell your reserved space. While we understand that emergencies happen and sometimes life requires a pivot, Freeflow must pay for your outfitting, permitting, gear, food, transportation, and all other incidentals well before the course launches. We invest in you well before the course begins, and we cannot recoup our financial investment if you have to back out at the last minute.

We strongly encourage purchasing trip insurance. Freeflow is not responsible for any additional or travel costs incurred, and we recommend that you be sure you have insurance to cover these.

We reserve the right to cancel a trip due to insufficient enrollment. Freeflow courses do not generally cancel for storms, winds, high water, smoke, or other forms of inclement weather; we do, however, reserve the right to cancel courses due to active fires, floods, or other extreme or dangerous weather events. We will give as much advance notice as possible in these circumstances. In the case that WE cancel a trip, a full refund will be issued. Remember that we cannot refund or compensate you for plane tickets, rental cars, etc.

If WE cancel your program due to COVID-19 concerns, we will transfer your deposits and payments to a future Freeflow course, or issue you a full refund of any and all deposits and payments. If YOU cancel your trip – while we will work with you to make the cancellation as painless as possible – our normal cancellation policy applies. If YOU cancel due to a COVID-19 diagnosis or a quarantine order, Freeflow will refund all fees paid with the exception of the non-refundable deposit, on receipt of PROOF of the diagnosis / mandatory quarantine.

Trips / courses may still run even if there are unexpected or last-minute changes to the staffing or faculty. Refunds will NOT be given for changes in staffing or faculty.
